This article explains about SharePoint Implementation Management such as SharePoint Implementation start and how to manage this project.

There are seven-stage approaches to SharePoint Implementation, they are as follows:

01. Learning Stage
02. Analysis and Necessity Stage
03. Data Architecture Stage
04. Data mapping Stage
05. Configuration Stage
06. Migration Stage
07. Training Stage

Learning Stage

In this stage, the stakeholders and the users are educated on SharePoint capabilities. First, one should understand and be educated on its capabilities to create in SharePoint. The reason for keeping the learning stage as the first stage is that all the users should be educated on SharePoint before they could start working on it, this leads to more productivity and successful output.

Analysis and Necessities Stage

The users should be aware of business requirements and should have good knowledge of the use cases to make a project successful, this includes SharePoint sites, lists, libraries and functionalities requested. One should have necessary documents before they could start a project, it is not necessary to have a detailed requirement but limited with main concepts covered. You can simplify it by having a question session.

Data Architecture Stage

Data Architecture is designed based on the information or requirements which are gathered at a higher level. I would recommend you to document this. Initially, a formal design is created for the clients, which includes overall taxonomy, metadata parameters, web parts, security configuration, navigation, SharePoint workflow, Microsoft flow, custom page layout, site hierarchy. It is also recommended to update the documents as and when there is a change, so in the end, you will understand the full structure.

Data Mapping Stage

This stage is useful when there is a migration from existing documents to SharePoint other than that this is not applicable anywhere. This acts as a document, which maps your current document to new sites. Besides, this helps in the transition towards your projects.

Configuration Stage

One of the important stages is the configuration stage, depending on requirements and design, SharePoint is configured. During configuration, Lists, Libraries, Pages and Sites are created, Views and Metadata Setup, Navigation is built and Security groups are provisioned.

Migration Stage

This stage helps in migrating documents from file shares or older versions of SharePoint to newly setup SharePoint sites.

  • A site to another site migration.
  • list to another list migration with Lisitems.
  • library to another library migration with folders and files.

Training Stage

Building a Training stage is very important in SharePoint. If an easy to use sites are created, all the end-users should be trained. SharePoint Training should mainly reach power users, content owners and site administrators. I would recommend, it is a must that every user should undergo training and do not skip training.
