Mailbox Migration from Exchange 2010 to Office 365 for an Investment Company

Mailbox Migration from Exchange 2010 to Office 365
11 Nov 2022

Client:

The client is a South Africa-based investment company headquartered in Cape Town. The company offers various pension schemes, retirement benefit options and investment bonds to meet people’s needs throughout their life. The company also works with consultants for employee benefits and trustees for pension plans.

Challenges:

Microsoft announced that Exchange 2010 is no longer supported, so there is no longer any extended support. Therefore, the client shouldn’t anticipate any new upgrades, and receiving technical support will be difficult. The client wanted to operate comfortably and follow a security-by-design strategy. The business recognized that now is the right time to switch from Exchange 2010 to Office 365. To move their mailboxes from Exchange 2010 to Office 365, all they required was a qualified Microsoft Partner.

Objective:

The client planned to migrate their current Exchange 2010 mailboxes, email services, calendar contacts, and tasks to the Microsoft Office 365 hosted exchange platform. Still, they also wanted to keep their on-premise Active Directory systems. Therefore, the client intends to use the hybrid model strategy. The migration process is now more difficult as a result.

Solution:

Veelead made a pre-migration move of the bulk of client email contacts, calendars, etc. Also, our team created all the users/groups/public folders in the cloud. We set up a hybrid deployment between Exchange Server on-premises and Exchange Online using Azure Active Directory synchronization to aid in recipient administration in order to provide users with a seamless yet staged migration.

90% of the on-premises data had been successfully migrated from Exchange 2010 to Office 365 after the confirmation. Users could read the documentation we developed to learn what was going on, how to delete their old email account, how to make their own O365 passwords, how to add the new email account to their phones, laptops, and Outlook, and how to get in touch with us if they had any problems. We verified that all emails, contacts, calendars, etc. had been transferred to the cloud by comparing mailbox sizes, and we worked on-site to ensure users were logged into the new system and that all of their data was present.

Veelead Solution ensured that the client’s Office 365 data was safely protected during the migration process by moving up to 640 mailboxes and implementing cloud backup for Microsoft Office.

Result:

The quick upgrades and access to new features have increased employee productivity at our client organization, all while being entirely cost-effective for combined licensing.  Here is the list of benefits the company enjoys:

  • Users of Office 365 can access their mailboxes on any device and from any place.
  • The organization only pays for the users or mailboxes that are currently in use.
  • Microsoft is in control of all security updates. The expense of infrastructure and upkeep need not be an issue.
  • Office 365 will protect company information from unauthorized access. It assures a 99.9% uptime for email workflow.
  • With Office 365, there is no need for manual server maintenance or patching upgrades.
