
Streamlining Workspace Management for Law Firms with Power Apps and SharePoint

The client is a mid-sized law firm headquartered in India, employing over 200 legal professionals and administrative staff, specializing in corporate, real estate, and family law; the firm operates in a hybrid work model with flexible workspace requirements, including private offices, shared desks, meeting rooms, and conference facilities to support frequent client meetings, court preparation sessions, and collaborative team activities.
Challenge
The challenges of efficiently organizing office space only mounted, with an inevitable spillover effect on the lawyers’ productivity and client satisfaction. What they faced included:
Workspace Chaos: It made every day a battle to find the available desks and meeting rooms, having employees split time each week between home and the office. Double bookings and last-minute conflicts wasted valuable time and frustrated everyone.
Too Much Manual Work: Administrative staff spent hours updating spreadsheets and coordinating workspace reservations. A process like that is not only very slow but also prone to mistakes; a lot of issues with booking arose.
Empty Spaces, Missed Opportunities: Some desks and meeting rooms stayed empty while others were overbooked because there was no clear way to see real-time availability. This left the office space underutilized and inefficient.
Client Meeting Delays: Scheduling conflicts often meant scrambling to find available meeting rooms for important client discussions, which hurt the firm’s reputation for professionalism.
No Data to Improve: Without any data on how spaces were being used, it was impossible for the firm’s leadership to make informed decisions about how to better manage their office or reduce unnecessary costs.
These problems highlighted the urgent need for a simple, automated system to manage workspaces smoothly, save time, and provide a better experience for both employees and clients.
Solutions
After a detailed view on the challenges the law firm was facing concerning business processes, our team was in an excellent position to propose, design, and further give shape to a customized M365 Workspace Management System for full usage of the already existing investment in the Microsoft 365 ecosystem. Using Power Apps, SharePoint Online, Power Automate, Power BI, Microsoft Teams, and Outlook, the seamless integrated solution put under one umbrella all their needs. This approach gave the firm one unified user experience and utilized no additional software or infrastructural investments. As a matter of fact, this system was very cost-effective, scalable, and well in line with the current operational needs and future growth aspirations of the firm. Power Apps – For Workspace Booking Interface
- We developed a Canvas App in Power Apps to provide employees with an intuitive, user-friendly interface to view and reserve desks, meeting rooms, and conference facilities.
- It also allowed the users to see the real-time availability of the workspace, thereby avoiding any conflict in booking and smoothing the way for reservations.
Power Automate – For Workflow Automation
- Validation Workflows: Automating all the validation checks to actually see whether the workspace is really available before intake of a reservation to avoid overbookings.
- Notification System: Power Automate streamlined the creation of automated confirmation emails, reminders, and updates if anything happened to change or cancel the booking.
- Approval Workflows: Requests for either high-demand space or special space would need to be sent through their manager for approval; thus, being effective in decision-making processes.
SharePoint Online – For Backend Data Management
- Central Data Repository: All reservation data was stored safely in SharePoint Online, integrated smoothly with other Microsoft 365 tools.
- Scalability: SharePoint Online removed third-party databases, which is the scalable backend.
Power BI – For Analytics and Reporting
Insights and Dashboards: Integrating SharePoint reservation data with the use of Power BI grants leadership real-time dashboards on workspace trends, peaks of hours of booking, underutilized spaces, and it informs wiser space planning and better cost management.
Microsoft Teams – For Easy Access
Convenience: The application for booking a workspace in Power Apps was directly integrated into Microsoft Teams, where employees did not have to switch between platforms
Outlook – For Calendar Integration
Smooth Booking: Bookings were integrated with the employees’ Outlook calendars, showing reservations among other work commitments.
